The Project Control Coordinator supports the PMO and Project Managers by gathering the necessary information to complete and submit a Project Initiation Form, creating preliminary cost and return on investment financial models, creating project SharePoint sites, maintaining document control, database management and coordinating and tracking project activities and communications to ensure project goals are accomplished within the prescribed time frame and budget parameters. Essential Duties and Responsibilities • Dynamic Tracker- Responsible for all documenting and tracking of project deliverables by interfacing with project staff to ensure timely data entry for real time status reporting. • Project Execution Plan- works closely with PM to ensure project progresses on schedule and within prescribed budget. • Status Reporting- directs and prepares status reports for management, client, project personnel or others and modifies schedules or plans as required. • Dashboard Reporting- Pushes dashboard reports to the intranet, assuring data accuracy and reliability. • Project Files- Responsible for establishing and maintaining a filing system that documents all project activity according to ISO and PIH standards, and from which data can be pulled for project closeout files. • Master Files- Gathers and updates master files of employee and contractor skills, names, project categories, project plan templates, and project document templates. • Project/ System Portfolio- Compiles master list of systems in production, both application and infrastructure, and generates TCO model projecting resource requirements for support. • Billing- Provides documentation and works closely with Project Manager to produce monthly milestone and T&E billing data. • Time & Expense Reports- Gathers time and expense reports from project staff for Project Manager approval and submittal to regional office. Required Knowledge, Skills and Abilities • Proficient in Microsoft Office – Excel, Word, PowerPoint etc. • Understanding of Microsoft Outlook and the Internet • Proficient in LAN/Workgroup environment • Ability to maintain confidentiality is essential • Comfortable in self-directed environment • Ability to calculate figures and amounts such as discounts, and percentages. • Ability to interview and draw out project requirements and needs • Ability to read and interpret documents such as client specifications and requirements, procedure manuals, and reports. • Ability to write coherent and succinct status/progress reports. • Ability to write database queries, reports and correspondence. • Ability to identify resources to verify information and communicate effectively and identify routine database problems. Required Experience Must have at least 1 year of work experience as a Project Coordinator.
